• Church/Administrative Assistant

HOURS: Monday Friday (Salaried 40 hours per week) Weekend hours may also be required depending on church programs and events.


1. College graduate or equivalent of 2+ years work-related experience
2. Experience as an Administrative Assistant
3. Strong computer skills are imperative (MS Windows, Word, Excel, Access, PowerPoint, Outlook, Publisher)
4. Proficiency in the use of standard office tools (computer, copy machine, etc.)
5. Strong organizational skills
6. Have excellent command of English composition and punctuation


Primary function is to oversee all activities of the main church office as well as providing support for staff including Sexton, Director of Childrens Ministry, Music Director and Assistant Priest. This person would report directly to the Senior Pastor/Executive Director/ Department Manager.


1. Maintenance and organization of reception area.
2. Ordering and maintenance of office supplies, equipment and Altar supplies.
3. Organization and maintenance of church calendar (and Rectors calendar).
4. Pick up, distribution and dissemination of all mail and correspondence.
5. Screening and routing all incoming calls, faxes and emails. Responding where appropriate.
6. Answer mail correspondence (writing letters), phone calls, etc.
7. Check email and respond.
8. Coordinate scheduling for weddings and baptisms.
9. Type, print, and fold weekly bulletins.
10. Keep accurate membership records (new members, baptisms, weddings, deaths, etc.)
11. Process baptismal and burial certificates and record in register.
12. Prepare Annual Reports.
13. Schedule and attend vestry meetings and record minutes.
14. Routine filing of paperwork.
15. Prepare new members information packets and coordinate receptions.
16. Coordinate travel arrangements when needed.
17. Set up counseling meetings and other appointments.
18. Coordinate employee meetings, lunches, etc.
19. Notify all Pastoral Staff of member hospitalizations, deaths, etc.
20. Prepare, proof, print, and disburse weekly bulletins and electronic newsletter.
21. Maintain and up-date all standard forms and ministry literature.
22. Maintain and reconcile parish credit cards with accurate records and receipts.
23. Log in invoices for Treasurer and maintain status of payments.
24. Update and maintain confidential stewardship and capital campaign payments.

Should be willing and able to work at a fast pace within a variety of settings and circumstances, with composure and flexibility.
Should be willing to work evenings and weekends occasionally and daily work schedule will be adjusted accordingly.

Should have a non-lackadaisical attitude with the willingness to seek new information, training, and resources as needed.
Should be a self-starter, good at multi-tasking and prioritizing projects.
Should possess strong administrative skills and the ability to work independently without supervision.
